Assistant Contracts Manager

The Engine Driving Sustainable Projects

  • Location: Charing, Kent.
  • Salary: £40,000 – £45,000 per annum plus package (Negotiable based on your expertise).

We’re looking for a highly organised, proactive professional to become our Assistant Contracts Manager. This role is the backbone of our commercial and project delivery team – your administrative expertise ensures everything runs smoothly, compliantly, and profitably.

You will be stepping into a firm dedicated to sustainability and innovation, assisting the Contracts Manager in delivering high-impact projects. If you have solid experience keeping construction projects organised, managing contract documentation, and are ready to grow your career into a managerial role, we’d love to chat.

 

What You’ll Be Doing: The Heart of Project Coordination

As the Assistant Contracts Manager, you are the essential link responsible for commercial and documentation management throughout the entire project lifecycle, reporting directly to the Contracts Manager.

 

1. Driving Compliance & Project Setup

You’ll take the lead on managing all critical project administration and compliance, ensuring nothing slips through the cracks:

  • Project Lifecycle Support: Actively assist the Contracts Manager in all project tasks, from initial handover through to post-commissioning.
  • Own the Documentation: Expertly manage the submission and tracking of key documents, including DNO applications, RAMS (Risk Assessments & Method Statements), pre-construction setup materials, and all necessary certifications.
  • Compliance Control: Manage change order documentation, rigorously track contractual compliance, provide support for audits, and ensure accurate document control across the project.
  • Daily Site Flow: Ensure daily site documentation (reports, surveys, and images) is submitted, reviewed, and properly compiled into clear progress reports for distribution.

 

2. Resource Allocation & Scheduling

You’ll be the central coordinator, ensuring the right resources are secured and deployed to maintain project timelines:

  • The Go-To Organiser: Coordinate the scheduling and allocation of all required resources, including materials, labour, lifting equipment, and specialised items.
  • Keep Everyone Informed: Organise and clearly communicate scheduled works and updates to all parties, facilitating smooth coordination between internal teams and installation crews.

Smooth Handover: Facilitate a seamless transition and handover process to the Operations & Maintenance (O&M) team at project completion.

3. Communication & Financial Oversight

You’ll foster positive relationships while helping the Contracts Manager track project financials:

  • Build Relationships: Maintain regular, clear, and positive communication with clients, site managers, and internal teams to foster positive working relationships.
  • Track the Money: Support accurate material and revenue tracking, ensuring timely and reliable forecasting input for the Contracts Manager.
  • Escalate & Advise: Proactively escalate any urgent commercial concerns or potential roadblocks to the Contracts Manager or Operations Director immediately.

What Makes You a Great Fit?

  • Experience: You have prior experience in project administration, contracts coordination, or a similar role within construction and are ready to step up into an Assistant managerial role.
  • Safety Focused: You have a strong practical understanding of Health & Safety principles and know how to manage and review critical compliance documentation (like RAMS and certifications).
  • Super Organised: You pride yourself on your strong organisational and documentation management skills – you can co-ordinate complex resources and manage shifting schedules effectively.
  • A Natural Communicator: Your communication skills are excellent, and you enjoy liaising with diverse groups, including clients, contractors, and internal staff.
  • Tech Savvy: You are proficient with Microsoft Office and comfortable using digital platforms essential for modern project management.
  • Candidate Requirements

    Academic Foundation Someone with a background in site management, a quantity surveyor or an Architectural assistant looking to take the next step up in their career.

  • Professional Skills Exceptional communication, and analytical abilities. Must be highly commercial with meticulous attention to detail.
  • Technical Proficiency Familiarity with industry-relevant software (e.g., Asta,Procore etc) and proficiency in advanced Microsoft Excel. Proven ability to generate and present complex data.

Required Experience and Expertise
The successful candidate will demonstrate a strong track record and expertise in:

  • Contract Management: Providing expert administration for high-profile projects governed by JCT contracts, including the successful negotiation and processing of all contractual variations and claims.
  • Value Optimisation: Proven ability to streamline procurement processes, resulting in the optimal selection and negotiation of sub-contract packages.
  • Risk Mitigation: Conducting detailed commercial reviews to pre-emptively identify and resolve contractual risks.
  • Final Accounts: Experience in authoring, negotiating, and securing the agreement of complex final accounts with clients and subcontractors, maintaining professional relationships throughout.

We are dedicated to creating accessible, cost-efficient living and working spaces for individuals with disabilities, limited mobility and those who are looking to have a home made more suitable, as they get older.

Our residential projects include accessible new-build homes, property conversions, extensions, and disability adaptations. In collaboration with Kent Structures, we deliver Disability Discrimination Act (DDA) compliant design and build solutions for both private and commercial clients.

Role Description

We are looking for a full-time architectural assistant to assist us with the creation of technical drawings, the development of architectural designs, as well as the preparation of architectural plans and presentations.

The role involves collaborating with the design and build team to ensure projects meet the highest quality standards while adhering to compliance and safety requirements.

The ideal candidate will work closely with architects and clients to contribute to projects throughout all stages – from concept to completion.

 

Qualifications

  • Foundational knowledge of Architecture and related principles.
  • Proficiency in Technical Drawing and Architectural Drawings.
  • Strong Communication and Presentation skills.
  • Ability to work collaboratively with team members and clients.
  • Familiarity with local building regulations and compliance practices is a plus.
  • Bachelor’s degree in architecture or a related field is preferred.
  • UK driving licence is preferred.
